What is a settlement window?

When your customers pay you, the money doesn't land in your account instantly - it goes through a short processing period. Understanding your settlement window (also known as a trading window or sales day) helps you know when to expect your funds and where to track them.


Your settlement window

A settlement window is the daily period in which all your transactions are grouped together. By default, yours runs from midnight to midnight - so any payments taken within that 24-hour period are collected into a single batch for that day.

Think of it like a daily till count: at the end of each settlement window, everything gets added up and processed together.


When do I get paid?

Payouts are processed daily at 09:00 GMT on weekdays, covering the transactions from your previous settlement window. So for a midnight-to-midnight window, your Tuesday morning payout covers everything taken on Monday.

What's included in your payout depends on whether you're on net or gross settlement. With net settlement, any fees, refunds, or chargebacks are automatically deducted before you're paid. With gross settlement, you receive your full takings minus refunds and chargebacks, and any fees are handled separately. Either way, you'll be paid at the same time.

Your settlement window settings

Where can I see what my settlement window is?

You can find your current settlement window in two places - under Sites in your Basecamp dashboard (look for the 'Settlement window' setting), or on the End of day reports page under Reporting, where your window times are shown alongside your daily reports.

Why would I want to change my settlement window?

The default midnight-to-midnight window works well for most businesses, but it might not suit yours. For example, if your venue trades past midnight, a transaction taken at 1:00 AM would fall into the next day's settlement - which can make your daily figures harder to reconcile. Shifting your window to match when your business actually closes keeps each day's takings together and makes reporting cleaner.

What window options are available?

You can set your settlement window to start (and end) at any hour from midnight through to 7:00 AM:

  • Midnight to midnight (default)

  • 1:00 AM to 1:00 AM

  • 2:00 AM to 2:00 AM

  • 3:00 AM to 3:00 AM

  • 4:00 AM to 4:00 AM

  • 5:00 AM to 5:00 AM

  • 6:00 AM to 6:00 AM

  • 7:00 AM to 7:00 AM (latest available)
